Why Most Translation Tools Fall Short on Files

DeepL and Google Translate do support some file uploads—but with major limitations that slow you down:

Very Limited Formats

DeepL: Word, PowerPoint, PDF (free), plus Excel and HTML on paid plans. That's it.
Google Translate: Word, Excel, PowerPoint, PDF. No developer files, no localization formats.

Need JSON, XLIFF, InDesign, or subtitles? You're out of luck.

Formatting Breaks

Both tools frequently lose formatting—especially with complex layouts, tables, or styled text. You'll spend hours manually fixing the output.

Taia tested this: DeepL compressed fonts, Google broke layouts entirely.

No Context or Memory

Neither tool has translation memory. Translate the same document twice? You'll get different results—and pay twice. No consistency, no cost savings.

Essential features for professional work are simply missing.

Taia's Solution: Real Document Translation

Upload the entire file in any of 65+ formats. Taia translates 128 segments at once—so the AI sees the full context. Download the translated file with all formatting intact. PDFs are automatically converted to editable Word files. No manual work, no broken layouts.

Why PDFs Are a Nightmare (And What to Do About It)

PDFs are the worst file format for translation. They're designed for printing, not editing. Here's what you should know:

🎯 Best Option: Find the Source File

PDFs are usually generated from Word, InDesign, or other source files. Ask for the original .docx, .idml, or .html instead. You'll get better quality and editable output.

✨ Our Solution: PDF → DOCX/PPTX Conversion

Taia can convert PDFs to editable Word or PowerPoint files before translation. This way you get a translated document you can actually edit—not just another PDF.

⚠️ Scanned PDFs: OCR Limitations

If your PDF is a scanned image (not digital text), we use OCR (optical character recognition). This works reasonably well for typed text but struggles with: handwritten notes, stamps, signatures, watermarks, complex layouts, and non-Latin scripts. Quality depends on scan quality.

💡 Pro Tip: If you regularly translate PDFs, consider switching to a source-file-based workflow. Your translation quality and editing flexibility will improve dramatically.
